What the certification actually means
A QuickBooks Certified ProAdvisor is an independent accounting professional who has passed Intuit's certification exams on QuickBooks Online. It is not a job at Intuit and it is not a sales badge. What it certifies is that the person knows the software properly: how the file is structured underneath, why a number lands where it lands, and how to fix it when it lands somewhere wrong.
That last part is most of the value. Anyone can categorise a transaction. The difference shows up when the bank feed has duplicated six months of deposits, the reconciliation is off by an amount nobody can trace, and the balance sheet has an equity account that has been absorbing mistakes for two years.
The single most common thing I find in a QuickBooks file is money sitting in Undeposited Funds that was never cleared. It quietly overstates income, and it is usually years deep by the time anyone notices.
What I use it for
- Setup. A chart of accounts built for what you actually do, rather than the default list QuickBooks proposes for everybody
- Cleanup. Duplicates, miscoded transactions, reconciliations that were forced to balance, and opening balances that never tied out
- Bank and card feeds. Connected properly, with rules that categorise the repetitive things automatically instead of one by one
- Integrations. Stripe, Square, PayPal and similar, connected so the deposits match the sales rather than double-counting them
- Training. Enough that you can read your own reports and do the parts you want to keep doing
- Ongoing monthly work. The books kept in the file, closed and reconciled every month
Why the file is usually the problem
Most businesses that are unhappy with QuickBooks do not have a QuickBooks problem. They have a setup problem that QuickBooks has been faithfully repeating every month since.
A chart of accounts copied from a template that does not match the business. Products and services mapped to the wrong income accounts. Bank rules written early, wrong, and never revisited. Sales tax set up by someone guessing. None of that announces itself. It just produces reports that feel slightly untrue, month after month, until somebody stops trusting the numbers entirely and goes back to a spreadsheet.
Fixing the structure once is nearly always cheaper than working around it forever.
Signs your file needs looking at
- The bank reconciliation has been forced to balance with an adjusting entry nobody can explain
- Undeposited Funds has a balance and you do not know why
- Accounts receivable shows invoices from customers who paid a long time ago
- Opening Balance Equity has anything in it at all
- The profit and loss changes when you re-run it for a period you already closed
- There are three versions of the same vendor with slightly different names
- Your CPA asks the same clarifying questions every year
If two or more of those are true, the free health check is the right starting point. It is a read-only look at the file with a written list of what I find, and there is nothing to buy at the end of it.
What I do not do
I do not run payroll and I do not file tax returns, including 1099s. For 1099s I keep the vendor records current and prepare the list and the totals; your CPA files them. Keeping that line clear is deliberate. It means I am not competing with your accountant, and it means the books I hand over are built to be used by one.
Common questions
Is a QuickBooks ProAdvisor an Intuit employee?
No. A ProAdvisor is an independent accounting professional who has passed Intuit's certification exams on QuickBooks Online. You hire the ProAdvisor, not Intuit. If something goes wrong with your books, the person who fixes it is the person you hired.
Do I have to buy QuickBooks through you?
No. If you already have a QuickBooks Online subscription I work in the file you have. If you do not, I will tell you which version actually fits what you do rather than the largest one.
Do you work in QuickBooks Desktop?
My certification is in QuickBooks Online, and that is where I do the work. If you are on Desktop, the honest answer is that a migration is a project in its own right and needs scoping before anyone promises you a timeline.
Can you just train me and let me do it myself?
Yes. Some businesses need the file set up correctly and a couple of hours of training, not a monthly service. If that is genuinely the better answer for you, I will say so.
